Send every booking to QuickBooks Online.

QuickBooks for vacation rentals works best when nobody retypes a reservation. QuickBooks Sync connects Lodgix to QuickBooks Online and sends your guests, reservation invoices, and payments to QuickBooks, posted to the income and deposit accounts you map. Your bookkeeper works from the same numbers your team sees in Lodgix, without a spreadsheet in between.

See what syncs to QuickBooks

Each Lodgix record lands in QuickBooks Online as the record your accountant expects to find. The reservation number becomes the invoice number, so anyone can trace a QuickBooks invoice back to the stay that created it.

GuestCustomer
ReservationInvoice, with one line per night of rent plus separate lines for services, fees, other deposits, taxes, and discounts
Guest paymentPayment, applied to that reservation's invoice
Payment methodPayment method, with card payments matched by card brand
Cancelled reservationInvoice reduced to a single cancellation fee line

When you delete a reservation or a payment in Lodgix, the matching invoice or payment is removed from QuickBooks on the next sync, so the two systems do not drift apart.

Map every charge to your chart of accounts

Account mapping

Choose the QuickBooks account for each kind of charge: rental charges, services, fees, other deposits, discounts, and taxes, plus the deposit account where guest payments land. Your existing chart of accounts stays exactly as your accountant set it up.

Classes per property

Assign a QuickBooks class to each property, or to each type of line, and choose whether one class covers the whole invoice or each line carries its own. Profit and loss by property then comes straight out of QuickBooks.

Invoice dates that match your books

Date each invoice on the day the reservation was created or on the check in date, whichever matches how you recognize revenue.

A clean starting point

Pick an initial sync date the first time you connect, so only the reservations you want in QuickBooks are sent, and older history stays out of a year you already closed.

Start a sync and see every result

You decide when Lodgix talks to QuickBooks. Click Synchronize and Lodgix sends every guest, invoice, and payment that is new or changed since the last sync, with progress shown live on the screen. Nothing reaches your books until every account is mapped, so a half set up connection cannot post charges to the wrong place.

Every record keeps its own status. Filter the sync list to errors only, read the reason QuickBooks gave, fix the record in Lodgix, and resend that single invoice or payment without starting a full sync. Success and failure logs give your bookkeeper a record of what went across and when.

Keep owner accounting in Lodgix

QuickBooks Sync handles the guest side of the books: who stayed, what they were charged, and what they paid. Owner statements, owner expenses, and work orders stay in Lodgix, where the Property Management add-on turns them into statements for each owner. An owner ledger tracks what each owner is owed and what you have paid them, with every published statement marked unsettled, partially settled, or settled.

The two add-ons work well side by side. Your accountant sees every guest invoice and payment in QuickBooks Online, and your owners see their statements in their own portal.

Questions we hear most

Does Lodgix work with QuickBooks Desktop?

No. QuickBooks Sync connects to QuickBooks Online only. If you keep your books in QuickBooks Desktop, you can export your Lodgix reports to Excel and bring the figures in from there.

Is the sync two way?

No. Lodgix sends guests, invoices, and payments to QuickBooks Online. Changes you make inside QuickBooks are not copied back into Lodgix, so make edits to reservations and payments in Lodgix and let the next sync carry them across.

Is QuickBooks Sync included in every plan?

No. QuickBooks Sync is an optional add-on. Owner statements, owner accounting, and the owner portal come with the Property Management add-on, and QuickBooks Sync is a separate add-on. Pricing varies by the number of properties in your portfolio, and add-on prices are listed on our pricing page.
