Airbnb message templates for every stage of a stay

Most hosts need eight messages: an inquiry reply, a booking confirmation, a trip planning note, check-in instructions, a welcome on arrival day, a checkout reminder, a review request, and a balance reminder for direct guests. Copy the templates below, adjust the tone, and send each one at the time listed.

What can't you say in an Airbnb message?

Airbnb's Off-Platform and Fee Transparency Policy (checked October 19, 2026) says all guest communication before booking must stay on Airbnb. It prohibits:

  • Asking guests for contact information, such as an email or mailing address, before they book.
  • Links that take people off Airbnb, in listings or in messages.
  • Encouraging guests to move current, future, or repeat bookings off Airbnb.
  • Requesting, sending, or receiving payment outside Airbnb.

After a booking is accepted, you may ask the guest to confirm the contact details Airbnb provides, and you can switch to another channel if the guest asks for one. None of the templates below ask for contact details or include outside links.

Which messages should every host send?

The words in brackets, such as [GUESTFIRSTNAME] and [RARRIVALDATE], are Lodgix merge tags. Merge tags fill each message with details from the reservation, including the guest's name, arrival and departure dates, check-in and checkout times, the door code, Wi-Fi details, directions, and parking information.

1. Inquiry reply

When to send: Within the hour, while the guest is still comparing listings.

Hi [GUESTFIRSTNAME], thanks for your interest in [PTITLE]!

Good news: your dates are open. The home sleeps [PMAXGUESTS], check-in is at [PCHECKINTIME], and checkout is at [PCHECKOUTTIME].

Is there anything about the home or the area I can help with before you book? I'm happy to answer any questions.

2. Booking confirmation

When to send: As soon as the reservation is confirmed.

Hi [GUESTFIRSTNAME], you're all set for [PTITLE] from [RARRIVALDATE] to [RDEPARTUREDATE]. Thank you for booking with us!

We'll send full check-in details a few days before you arrive. In the meantime, just reply here if you have any questions or special requests.

3. Trip planning, one week out

When to send: Seven days before arrival.

5. Welcome on arrival day

When to send: Two to three hours after check-in time on the day of arrival.

If anything isn't right, please tell us now so we can fix it quickly. Enjoy your first evening.

6. Checkout reminder

When to send: The evening before departure.

Before you go, please start the dishwasher, take out the trash, and lock the door behind you. Thank you!

7. Review request

When to send: One day after checkout. Airbnb gives guests 14 days after checkout to leave a review, so ask while the stay is fresh.

Hi [GUESTFIRSTNAME], we hope you made it home safely.

If you enjoyed your stay at [PTITLE], a review would mean a lot to us and helps future guests choose with confidence. Thank you again for being such a great guest!

8. Balance reminder for direct bookings

When to send: Three days before the balance due date, for guests who booked on your own website.

Hi [GUESTFIRSTNAME], a friendly reminder that the remaining balance of [RRBALANCE] for your stay at [PTITLE] is due on [RRBALANCE_DUE_DATE].

Reply here if you have any questions about your reservation. We can't wait to host you!

How do you make templates sound personal?

Use the guest's first name, mention the property by name, and keep each message short enough to read on a phone. If a template sounds like a policy document, rewrite it the way you would say it at the door.

How does Lodgix send these messages for you?

Automated messages go out by email or SMS on the timing you choose, such as a set number of hours or days before arrival or after departure, when a reservation is confirmed or paid in full, or when a rental agreement is signed. Messages to Airbnb, Vrbo, and Booking.com guests can be delivered inside that channel's message thread. Build each template once in the Lodgix automation workflows, set the timing, and every new reservation gets the right message at the right moment.

Guest conversations from Airbnb, Vrbo, and Booking.com messaging, email, SMS, and the Staylio guest app land in one Lodgix inbox, and your reply goes back through the channel the guest wrote from. AI drafts replies to inquiries and reservations in your voice, and writing tools work in every message editor. See how the Lodgix guest messaging inbox works, or read what a unified inbox is.

Questions we hear most

Can I include my phone number or website in Airbnb messages?

Not before the booking. Airbnb's Off-Platform and Fee Transparency Policy keeps all guest communication before booking on Airbnb and bans links that take people off the platform.

When should I send check-in instructions?

Two to three days before arrival. Airbnb shows guests your check-in details about 48 hours before check-in, so send yours by then and the guest has everything in one message.

Will AI reply to my guests without asking me?

No. AI output is screened for privacy risks and prompt injection. Replies remain drafts until you enable sending, and every tool can be turned on or off individually.
