iCal vs API calendar sync for vacation rentals

iCal sync shares booked dates between calendars on a schedule, so a new booking can take from minutes to hours to reach your other channels. An API connection, the kind a channel manager uses, sends availability, rates, bookings, and listing details through each channel's own system. Use API sync for your main channels and iCal for the rest.

How does iCal calendar sync work?

iCal is a shared calendar file format. Each channel gives every listing an export link that lists its booked and blocked dates. You paste that link into another channel, which reads it on its own schedule and blocks the same dates.

Each feed works in one direction. Airbnb and Vrbo (formerly HomeAway) need two feeds; a third channel makes six, and a second property doubles the count. Any feed can break without anyone noticing.

How often do Airbnb and Vrbo refresh iCal calendars?

The refresh schedule belongs to the channel reading the feed, not to you. Airbnb tells hosts that "your Airbnb calendar automatically updates every 3 hours" (Airbnb Help Center, checked October 19, 2026). Vrbo says imported events "may take up to 20 minutes to appear" and that its app syncs calendars every 30 minutes (Vrbo Help, checked October 19, 2026).

So a booking that lands on Vrbo just after Airbnb reads the feed can leave the same nights open on Airbnb for close to 3 hours.

What does an API connection sync that iCal can't?

An API connection links your software to the channel's own booking system, so your software sends changes and receives bookings directly:

What you neediCal syncAPI connection
Booked and blocked datesYes, on the reading channel's schedule.Yes, sent by your software when they change.
Nightly rates and minimum staysNo. Set by hand on each channel.Yes, set once and sent to every connected channel.
Full reservationsNo. A date block only, with no guest or payment details.Yes. The reservation arrives with the guest and the charges.
Listing contentNo.Yes, on channels that accept it.
Guest messagesNo.Yes, on channels that offer a messaging connection.
SetupCopy and paste a link for every channel pair.Connect each channel account once through your software.

The channels build extra safety into API connections, too. Vrbo says that before a booking request goes through on a software-connected listing, it checks with your software that the property is still available, and if it isn't, the guest cannot book (Vrbo Help, checked October 19, 2026). An iCal feed has no way to make that check.

Why does iCal sync lead to double bookings?

A double booking needs two channels selling the same nights and a gap before either hears about the other's booking. iCal supplies that gap by design, and the busier your calendar, the more often two guests land inside it. Airbnb charges hosts who cancel a confirmed reservation 10% of the reservation amount when they cancel more than 30 days before check in, 25% between 48 hours and 30 days, and 50% of the nights not stayed inside 48 hours, with a $50 minimum. Airbnb may also block the listing's calendar for those dates (Airbnb Host Cancellation Policy, checked October 19, 2026). The step-by-step fixes are in how to avoid double bookings on Airbnb and Vrbo.

When is iCal sync good enough?

Use iCal for a single property on two channels with a few bookings a month, for a small listing site with no API connection, or for a personal calendar. Move your main channels to API connections once you list on three or more channels, manage more than one property, or turn on instant booking. If you are weighing that move, read whether you need a channel manager for Airbnb and Vrbo.

How does Lodgix use iCal and API sync together?

Direct connections to Airbnb, Vrbo, and Booking.com, plus many additional channels through our channel manager including Expedia, Google Vacation Rentals, and Marriott Homes & Villas. When you add a property to Airbnb, you can create a new Airbnb listing or link one you already have, then choose Sync Everything (listing details, booking settings, pricing, and availability) or Limited Sync (pricing and availability only, with the rest of the listing managed on Airbnb).

Channels without a direct connection can stay in sync through iCal calendar import and export. Every Lodgix property has its own iCal export URL, and you can import calendars from other sites automatically or sync them on demand. Imported dates arrive as blocks, and the iCal sync log lists any dates that conflict with an existing reservation instead of overwriting it.

Questions we hear most

How often does Airbnb sync an imported iCal calendar?

Airbnb says its calendar automatically updates every 3 hours and pulls in the other calendars you have connected. You can select Refresh in the calendar settings to check sooner.

How often does Vrbo sync an imported iCal calendar?

Vrbo says imported events may take up to 20 minutes to appear, and its app guide says calendars sync every 30 minutes. You can import up to five calendars per property.

Can I use iCal and an API connection for the same channel?

Pick one per channel. Running both for the same listing sends the same booking through two routes, and some channels block it outright: Vrbo does not let you import calendars on a property managed through property management software.
